How a group departure works
We publish a departure date and a fixed itinerary. You book a seat — as an individual, a couple or a family — and travel with other guests on the same plan. Transport, hotels, listed meals and sightseeing are arranged as one operation, which is usually why a group seat costs less than the same trip booked privately.

Good to know
A group departure runs on a minimum number of travellers. If a departure doesn't reach that number, we tell you before the payment deadline and you can move to another date, switch to a private trip, or take a full refund of what you've paid us.

How we work with companies
We start with headcount, budget per person, dates and the outcome you want from the trip. You get a written proposal with venue options, a running order and a per-person cost. After the trip, you receive a single consolidated invoice with GST.

What we do not do
Safarvia arranges travel and coordination. We do not provide medical care, nursing, physiotherapy or clinical advice, and we cannot assess whether a destination is medically suitable for you. Please consult your doctor before booking, especially for high-altitude destinations, and tell us about mobility needs so we can plan around them honestly.

While you're travelling
Every confirmed trip comes with a coordinator's direct number and an escalation number, printed in your travel document. Support hours for live trips are stated in that document — we don't advertise round-the-clock support unless a specific package includes it.

The trip planner form collects everything we need to quote properly.
What we collect
When you submit an enquiry we collect your name, WhatsApp number, email address, destination, travel dates, group size, budget range and any preferences you share. For confirmed bookings we additionally collect the details required by hotels, airlines and transport operators — such as government ID details and dates of birth of travellers.
Why we collect it
To prepare your quote, make bookings in your name with our partners, coordinate your trip, issue invoices, and contact you about your booking.
Who we share it with
Only the partners needed to deliver your trip — hotels, transport operators, airlines, railway or bus booking channels, local guides — and our payment provider. We do not sell your data or share it for advertising.
How long we keep it
Enquiry data is retained for up to 24 months. Booking and invoice records are retained as long as tax and accounting law requires.
Your choices
You can ask us to correct or delete your data, or to stop contacting you, by writing to our email address. We respond to such requests within 30 days.

Our role
We plan and coordinate travel, and we book services in your name with hotels, transport operators, airlines and local suppliers. Those services are delivered by those suppliers under their own terms.
Quotes and confirmation
A quote is an estimate until it is confirmed in writing and the required advance is received. Rates can change with season, availability and supplier pricing until confirmation.
Payments
Payment schedule and advance amount are stated in your package document. Bookings are held only after the advance is received. Final payment is due before the date printed in that document.
Changes by you
Date changes, route changes and group-size changes are possible where suppliers allow them, and any difference in cost is passed on to you as-is.
Changes by us
If a hotel or service becomes unavailable we will provide a comparable alternative of the same or better standard, and tell you before you travel.
Things outside our control
Weather, road closures, strikes, flight and train delays, and government restrictions can change an itinerary. We will rearrange what can be rearranged; costs charged by suppliers in such situations are payable by the traveller.
Traveller responsibility
Carrying valid ID and permits, arriving on time, following local rules and declaring medical or mobility needs before booking are the traveller's responsibility.

How cancellation works
Cancellation charges depend on how close to departure you cancel, and on what your hotels, airlines and transport operators charge us. Airline, train and non-refundable hotel bookings follow the supplier's own rules, which may be stricter than the table below.

How to cancel
Send a written cancellation request by email from the address used for booking, quoting your booking reference. The date we receive that email is the cancellation date.
Refund timelines
Approved refunds are processed to the original payment method within [set number] working days of approval. Bank or gateway charges, where applicable, are deducted.
If we cancel
If we cancel a departure — for example, when a group does not reach its minimum size — you may move to another date, switch to a private trip, or take a full refund of the amount paid to us.

Why Safarvia exists
Most Indian travellers plan a holiday across a dozen browser tabs — one for flights, one for hotels, one for cabs, a few for "things to do", and a WhatsApp group full of screenshots. Then something slips on the ground, and there is nobody to call.
We work the other way round. You tell us where you want to go and who is travelling. We come back with a written plan: named hotels, a day-by-day route, what is included, what is not, and one price. Once you approve it, we book everything and stay reachable while you travel.
Where we operate
We are based in North India and work with travellers from Agra, Delhi NCR and across Uttar Pradesh. Our packages cover destinations across India, and we are building international itineraries as our partner network grows.
What we won't do
We won't quote a price we can't hold, describe a hotel as "3-star or similar" without naming it, or publish reviews and awards we haven't earned. If a destination isn't right for your group — the wrong season, too much altitude, too much walking — we would rather say so before you book.
